First, did they ask you for the item? If they did, you need to ask them for a formal written request to you. Second, you need to construct a workable loan agreement which specifies exactly what each of your responsibilities entail which both of you sign as a contract. I would not loan an item without a loan agreement which specifies at a minimum:

1. That it is a loan for a specific duration, renewable only with permission of both parties

2. Who is responsible in case of accident or injury (an indemnification clause to protect you) at all phases from when it starts at your house, during transportation, at the museum, and on return to you when they are done.

3. A specific insurance policy, or have you named as additional beneficiary for loss of your item in case of damage to or loss of your item being displayed.

4. Who is responsible for transporting the item to and from your location.

I have included a link to a standard European museum network loan agreement page. It is 17 pages. Before you shake your head at it, remember these are extensively experienced museums who have been through this before and know what it takes to not burn or get burned in a loan situation.

I would also be very cautious about vetting the museum- there are a lot of "backyard" operations which have no insurance, no assets, and no way to help you out if they destroy your item. Not to say they aren't good museums, but maybe not good museums to loan an item.

Loans are a great way to help out a museum and are a good way to help support your own hobby. They just need to be done the right way. Good Luck and if you need any more advice, this is something I have some experience with and am more than glad to help you find the right way forward.
